Case study

A media wall business,
running on its own system.

KSM Media Walls design and install bespoke media walls across the UK. Their product is one-of-a-kind for every customer — so we built them an operating system that works the same way.

Bespoke system build + ongoing iteration

[01] The challenge

High-value installs. High-volume enquiries.
Generic tools couldn't hold both.

Media walls are considered purchases: customers come in from social ads, compare options, and every job needs a survey before it can be priced properly. That means a lot of moving parts per sale — ad enquiries to answer fast, survey appointments to book, wall specs to capture, quotes to send and chase, deposits, installs and aftercare.

Run through generic apps, that process leaks. Enquiries wait while the team is on installs. Survey details live in one person's notebook. Quotes go quiet and nobody chases. The tools weren't built for how a media wall business sells — and no off-the-shelf setting fixes that.

[02] The build

Their process, turned into their system.

We mapped how KSM sell and deliver a media wall, then shaped the platform around it — bespoke fields, stages and automations included.

Every enquiry into one pipeline

Facebook and Instagram ads, web forms and missed calls all land in a single pipeline, staged around how KSM actually sells: enquiry, survey booked, quoted, won, installed.

Media-wall fields, not generic ones

A media wall isn't a boiler swap. The booking and survey flow captures the details KSM's installs turn on — wall type, size and spec — so every appointment arrives with the information the fitters need.

Appointments inside the sales flow

Survey appointments are booked straight from the lead, onto a weekly team calendar — no separate diary, no copy-paste, no double bookings.

One inbox for every conversation

WhatsApp, SMS, email and social DMs threaded per customer, next to their quote and job — so nothing lives in one person's phone.

Quotes that become jobs and invoices

Branded quotes with online acceptance, converted to jobs and invoices in one click, with card payments and polite automatic chasing.

Follow-ups that run themselves

Missed-call text-back within 60 seconds, automatic quote chasing and review requests after payment — the discipline of a big sales team, without hiring one.

"Finally a system that actually runs the way we work. Quotes, jobs, invoices and follow-ups — all in one place. We stopped losing leads within the first week."

End-to-end

Quote → job → invoice → follow-up, one system

  • Ad enquiries get answered even when the whole team is mid-install — the system replies first, the team follows up from one inbox.
  • Survey appointments are booked against the lead with the wall spec attached, so quoting starts from real information, not memory.
  • Quotes are chased automatically instead of relying on someone remembering on a Friday night.
  • The office sees the whole picture — pipeline, calendar, jobs and money — and the system keeps being refined as KSM grows.
